COMMERCIAL PROPERTY MANAGEMENT:
Bouverie Street Properties will:
Collect rentals;
Issue monthly tenant statements;
Allocate ancillary charges (municipal water accounts, rate & insurance increases etc.) and the collection thereof from tenants as per their lease agreements;
Pay accounts from rental income (cleaning services, maintenance etc.) as approved by the landlord;
Preparation of monthly landlord statements;
Preparation of VAT documentation;
Preparation of accounting documentation & submission to accountants & auditors;
Notify tenants of rental increases & other increases;
Attend to lease renewals;
Attend to tenant queries;
Maintain records of parking bays, issue remotes for access & gate access where necessary;
Organize tenant/landlord meetings;
Arrange for minor maintenance, plumbing, electrical etc;
Advertise for, and screen tenants, where applicable;
Enter into a service level agreement with the body corporate;
Keep accurate records of all transactions and decisions made.
RESIDENTAL LETTING:
Bouverie Street Properties will:
Source tenants;
Screen prospective tenants – tenants complete an application form and are comprehensively checked through the ITC and TPN credit bureaux. Employment records are also checked;
Draw up the lease;
Hold at least 1 months deposit in a trust account;
Collect monthly rentals;
Institute proactive and strict credit control;
Pay monthly levies and/or municipal accounts where required;
Do an annual inspection of the property (more can be arranged);
Arrange for small maintenance matters to be attended to by our team of on-call handymen;
Provide advice on annual rental increases and renewals;
Enter into a service level agreement with the body corporate;
Keep accurate records of all transactions and decisions made.
BODY CORPORATE MANAGEMENT:
Bouverie Street Properties will:
Collect monthly levies;
Institute appropriate & proactive credit control on defaulting levy payers;
Send out monthly levy statements to all trustees;
Attend to payment of monthly accounts, such as municipal accounts, insurance premiums and other regular maintenance accounts as approved by the trustees;
Arrange & attend the Annual General Meeting or other meetings as required;
Distribute minutes of said meetings to the trustees;
Liaise with the Body Corporate book-keeper/accountant on financial & tax related matters;
Assist the trustees in determining the replacement value of the units for insurance purposes;
Assist with arranging insurance cover for the buildings;
Assist in lodging insurance claims with the insurer;
Obtain quotes for repairs and maintenance to the common property and other areas covered by the levies;
Assist the trustees in setting up the annual budget;
Enter into a service level agreement with the body corporate;
Keep accurate records of all transactions and decisions made.
RENTAL COLLECTION POLICY:
Bouverie Street Properties has the following rental collection policy:
Rental is due on or before the 1st of each month;
To this end each tenant receives an invoice sent out on the 25
th of each preceding month;
Tenants also receive an SMS each month reminding them to pay before the 1st of the month;
Rental must be paid directly into our bank account. We do not accept cash;
If the rent does not show in our account on the morning of the 2
nd of the month a letter of demand is sent out via the TPN network;
If the rent is not received by the 7
th, the matter is handed over to our attorneys for collection and summons is issued.
The defaulting tenant will be required to sign an acknowledgement of debt or in the worst case scenario the tenant will be evicted.
All legal costs are for the tenants account.
Although Bouverie Street Properties cannot guarantee rental payments we firmly believe that strict screening procedures followed by proactive collection procedures reduce the risk of unpaid rentals enormously.
